Segmenting Records Based On Capping, Availability or Percentage

This article helps you understand how to segment records to multiple paths based on capping, team availability, and percentage of records.

The Dynamic-Segment component helps in segmenting records dynamically based on the team properties like: 

  • Capping of teams

  • Availability of teams

  • Percentage distribution between teams.

The Dynamic-Segment component switches between paths based on the current properties of the team. There can be three paths from the Dynamic-Segment component. Two paths for two Route-To-Team / Assign-Owner components and a default path if the teams / Owner in the two paths doesn’t satisfy the criteria.

There are three methods that can be used for switching between paths from the Dynamic-Segment component:

Steps to configure the Dynamic-Segment based on the Capping method:

 

  1. Open a workflow in PowerRouter.

  2. Drag any trigger component of your choice, for instance, New Lead, and then drag the Dynamic-Segment component from the right component list.

     

  3. Hover over the Dynamic-Segment component and click on Edit on the component.

  4. Add labels for path-01 and path-02.

  5. Select Capping from the Switch-based on the drop-down.

     

  6. Set the cap limit for both paths between 10 and 10000. For instance, we set the cap limit for path-01 as 20 and the cap for path-02 as 50.

     

  7. Select the time period based on which the capping for both paths will be restored from the Reset Interval dropdown.

     

  8. Enable the checkbox Use user capping to take into account the internal limit placed on users on the user's page of the people section. To switch records between both paths, the component considers the minimum of the two caps.
    For instance, 
    Chris and Dave of the AE team have a cap of 5 each, so the capping of path-01 based on internal capping becomes 10 and members of the SDR team have no cap limit so the capping of path-02 is 50.


     

  9. Click on Enable default path to route to the default path when capping has reached its limit for both paths.

     

  10. Click on Save.

  11. Add Route-To-Team or Assign-Owner components in both path-01 and path-02. For instance, in path-01, the AE team is used and path-02 routes to the team with the SDR team as the team is used.

 

  • In this workflow, 100 records were routed today. Only 10 records went to path-01 as Chris and Dave of the AE team were having internal cap limit of 5 each and 50 records were routed to path-02 and the rest records were in the default path.

     

  • If the Use User Capping checkbox is not enabled, then switching will be based only on the cap limit provided for each path.

 

 

Steps to configure the Dynamic-Segment based on the Availability method:

  1. Open a workflow in PowerRouter.

  2. Drag any trigger component of your choice, for instance, New Lead, and then drag the Dynamic-Segment component from the right component list.

  3. Hover over the Dynamic-Segment component and click on Edit on the component.

  4. Add labels for path-01 and path-02.

  5. Select Availability from the Switch-based on the drop-down.

     

  6. Enable Custom availability for distribution checkbox and provide the Start Time and End Time for path-01 and path-02.
    For instance, 
    path-01 timings are set as 9:00am to 3:00pm and path-02 timings are set as 5:00pm to 11:00pm.


     

  7. Click on Enable default path to route to the default path when records are routed in the timings other than the timings provided for both paths.

  8. Click on Save.

  9. Add Route-to-team or Assign-Owner component in both path-01 and path-02. For instance, path-01 AE team is used and path-02’s Route-to-team with SDR team as team is used.

 

  • In this workflow, 20 leads were routed between 9:00am and 3:00pm and 30 leads were routed between 5:00pm and 11:00pm. So 20 leads moved to path-01 and 30 leads moved to path-02. The leads which routed in timings other than defined for path-01 and path-02 went to the default path.

     

  • You can enable Consider team / user availability for the distribution checkbox for switching the routing paths based on the availability of the teams selected in path-01 and path-02.

 

 

Steps to configure the Dynamic-Segment based on the Percentage method:

  1. Open a workflow in PowerRouter.

  2. Drag any trigger component of your choice, for instance New Lead and then drag the Dynamic-Segment component from the right component list.

  3. Hover over the Dynamic-Segment component and click on Edit on the component.

  4. Add labels for path-01 and path-02.

  5. Select Percentage from the Switch based on the drop-down.

     

  6. Enter the path-01 percentage and the path-02 percentage will be automatically set. For instance, the path-01 percentage is set at 60%, the path-02 percentage is automatically set at 40%.

     

  7. Provide the Rolling Window based on which the percentage of records will be switched in both paths. For instance, the rolling window is set as 100.

     

  8. Click on Save.

  9. Add Route-to-team or Assign-Owner component in both path-01 and path-02. For instance, path-01 AE team is used and path-02 Route-to-team with SDR team as team is used.

 

  • With 180 records routed in this workflow, 60 records were routed to path-01 and 40 records to path-02 based on the Rolling Window among the first 100 records. 

  • The Rolling Window has now been reset. The remaining 80 records were divided into 60 records for path-01 and 20 records for path-02.
