How to set up email notifications for assignments in Workflow?

This article will help you understand how to set up email notifications for assignments in Workflow.

With the Send Email component, you can 

  • send direct notifications emails to your users on assignments

  • send notifications to managers by adding their email address.


 

Steps to use Send Email Component: 

  1. Use the component in any path of the workflow.

  2. If you want to send to the user present in the selected owner field of the record , enable Select an owner field checkbox and select the owner field of the record.

  3. If you want to send email to a specific email address, you can add the email address by enabling the checkbox Add custom email addresses.


  4. Edit the Subject and Body of the email template.

  5. You can add the fields in the format {Lead.fieldname}. This will fetch the lead’s field value and add in the email.  For instance, {Lead.title} will fetch the title of the lead.

  6. Click on Save.

 

Steps to enable assignment emails in routing component:

  1. Open any route component used in the workflow. For instance, edit the Route To Team component.

  2. Enable the checkbox Notify users by Email on Lead assignment.

  3. This will send an email notification based on the default template in the Settings page. If you want to edit the default template refer to this document.

  4. If you want to provide a unique template for a particular route component go to the Advanced Section.

  5. Make Enable custom email template checkbox true.

  6. Edit the Subject and Body of the email template.

  7. You can add the fields in the format {Lead.fieldname}. This will fetch the lead’s field value and add it to the email.  For instance, {Lead.annualrevenue} will fetch the annual revenue of the lead.

  8. Click on Save.
